Job description
As part of the team you will have the following responsibilities:
- Preparation of agenda, sending invitations, coordinating catering support, booking rooms (in an internal or external venue), preparing presence list, and other relevant services;
- Drafting correspondence, preparing relevant minutes, reports, statistics, notes, presentations, updating databases, monitoring of work in progress, calendars/agendas, mails monitoring, proof-reading of documents, formatting of relevant documentation;
- Travel and accommodation booking, processing reimbursement claims in accordance with applicable rules;
- Contacting the agreed provider and research for an optimal travel agenda, booking the flights and accommodation, collecting supporting documents for claims reimbursement, managing the reimbursement processes, processing related internal workflows etc.;
Qualifications
You will have the following qualifications and relevant experience:
- Completed secondary education or vocational diploma or bachelor degree in administration, business, management, or related field.
- 2–5 years of relevant administrative experience, ideally in an international or corporate environment.
- Experience in event coordination, meeting logistics, and travel arrangements is preferred.
- Excellent MS Office skills: Word, Excel, PowerPoint, Outlook;
- Ability to draft and format reports, minutes, presentations, correspondence, and maintain databases;
- Experience with calendar/agenda management tools (e.g., Outlook, Teams, SharePoint);
- Familiarity with travel booking systems and expense/reimbursement workflows;
- Ability to manage internal tools for workflows, document management, and approvals.
- The candidate should be eligible for EU security clearance.
- Fluency in English is mandatory; knowledge of Czeck is an advantage.
