If we process personal data on the basis of Art. 6 I lit f) the legitimate interests we pursue are to enable HE Space to offer its customers the most suitable candidate for the respective position and to offer the best possible position to the candidates.

3. How and when the information is used, recipients to whom data is disclosed

The information we collect is used for administering our business activities as follows:

If it is necessary to forward your data to other HE Space offices (HE Space group of undertakings) for the purposes mentioned above under 1 a, your data can be passed on to them. We also may pass your data to our customers. We do not use the information for third party marketing purposes or to add you to unsolicited mailing lists but we will use the data as far as necessary for consultation, own marketing research or opinion polls, if these measures are related to our contractual relationship with you and we can trust that you are interested in the provided information or activity.

Your data will not be forwarded to third parties for marketing purposes.

4. How we protect your information

HE Space employs technical and organizational security measures, in order to protect any personal data administered by us against accidental or intentional manipulation, loss, destruction or unauthorized access by third parties. Our security measures are continuously upgraded in line with technological progress.

We follow Data Protection Guidelines to protect the confidentiality of your personal information. In addition, our business practices are reviewed periodically for compliance with policies and procedures governing the security and confidentiality of our information. Our business practices limit employee access to confidential information, and limit the use and disclosure of such information to authorised persons.

5. Who has access to the information

Information about our users and customers is important to us. Access to your information is never provided to third parties apart from other HE Space offices and our clients. We may also disclose your information in response to a court order and we may disclose your information when we believe we are required to do so by law. We may disclose your information in connection with the collection of amounts you may owe to us and to law enforcement authorities whenever we deem it appropriate or necessary. Please note we may not provide you with notice prior to disclosure.

6. Rights of the Data Subject, how you can access your information

You have the right to obtain from HE Space confirmation as to whether or not personal data concerning you is being processed. You have the right to request from us rectification or erasure of personal data or the restriction of processing of your personal data; to object to such processing; to lodge a complaint with a supervisory authority; to demand rectification of inaccurate personal data; to have incomplete personal data completed; to receive your personal data, which you have provided to us, in a structured, commonly used and machine-readable format and you may have the right to transmit those data to another controller without hindrance from HE Space. You may send your request by sending an e-mail to us at the address dataprotection@hespace.com or by using the contact data of our Data Protection Officer.

According to Art. 77 EU Data Protection Regulation you have the right to lodge a complaint with a supervisory authority, in particular in the Member State of his or her habitual residence, place of work or place of the alleged infringement if you consider that the processing of personal data relating to you infringes this regulation.

7. Declaration of Consent, right to withdraw consent

Candidates may provide their applications containing personal data i.a. via our website, by telefax or by standard mail. Normally such data is deleted after the application and assessment process the candidate has applied for. We reserve the right to store the data provided by you for a period of up to 24 months after we have received the application. We store the data on the basis of Art. 6 I a), b) and f) EU Data Protection Regulation. Our interests in storing and processing your data is to provide you as applicant to our customers or to offer you a position in order to place you in a vacant position. You have the right to withdraw your consent of this storage at any time and to demand deletion of your personal data.

9. Newsletter

You may subscribe and register for our electronic newsletter provided on our website. By subscribing and providing the requested data you consent to the processing of your personal data in accordance with our Privacy Policy in order to send you our newsletter.

You have the right to withdraw your consent at any time. The withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal.

10. Deletion of data

Personal data is deleted after expiry of the statutory or contractual retention periods. Applications send via E-mail are permanently deleted on your explicit request or 6 months after the contractual relationship has been terminated.

11. Changes to Privacy Policy

If our Privacy Policy or procedures change, we will immediately post those changes to our website. Any such changes will be effective immediately upon being posted, unless otherwise stated in the change.
